Program Administrative Manager
Own the experience. Drive the work. Make impact visible.
At Coleman, we don’t believe in passengers.
We believe in people who step in, see what needs to happen, and move it forward without waiting to be asked. People who take ownership not just of tasks, but of outcomes. People who are reliable, curious, and unafraid to question how things have always been done.
We also believe work should be meaningful and energizing. We laugh, we push each other, we share what we know, and we show up fully for our teams and the organizations we work with.
Coleman Associates is helping to revolutionize health care for the underserved. We are a mission-based organization that partners with Community Health Centers across the United States to improve care delivery through training, coaching, and redesign. Our work focuses on helping teams create patient-centered systems that lead to better outcomes for the communities they serve.
This role sits at the center of that work.
You’ll partner closely with our team, work directly with clinics, and take ownership of the systems, experiences, and moments that make our programs exceptional. From shaping published content in Vroom!™ (our online learning platform), to driving program logistics, to ensuring no deadline is missed, and no detail falls through the cracks, you are the connective tissue that turns ideas into execution and execution into impact.
In this role, you will own and drive:
- Clinic-facing program execution and logistics
- Vroom!™ (online learning platform) content, impact, and experience improvements
- Data tracking, reporting, and impact storytelling
- Communication and coordination across organizations we work with, leadership, and internal teams
- Special projects that require critical thinking and follow-through
This is not a traditional administrative support role.
Yes, you will manage logistics, communications, and moving pieces. But more importantly, you will:
- Anticipate needs before they’re voiced
- Own projects from start to finish
- Improve systems as you work within them
- Step into ambiguity and create clarity
- Act as a trusted partner to leadership and organizations/independent practices alike
A Day in the Life
No two days look exactly the same, but here’s a snapshot of what your work might include:
You start your morning reviewing project plans, results, updates, and notice a gap in clinic engagement. You connect with a Relationship Manager, align on next steps, and adjust the plan before it becomes an issue.
Later, you’re building a Vroom!™ data report, not just pulling numbers, but shaping a clear story about what’s working, what’s not, and what needs to happen next.
Midday, you’re preparing for an upcoming Learning Session. You’re checking logistics, confirming details, and making sure everything runs seamlessly so the clinic experience feels effortless.
In the afternoon, you’re working on a conference submission. You take an outline from a leader and turn it into a polished first draft, ensuring every detail is aligned and submitted ahead of the deadline.
Along the way, a new opportunity comes up — a health center need, a chance to improve a process, or a gap you can close. You step in, figure it out, get the right support from a team member, and move things forward without waiting to be asked.
By the end of the day, you’ve not only executed on what was planned, you’ve improved how the work happens.
We’re looking for someone who is:
- Energized by learning, experimenting, and getting better every day
- Thoughtful, observant, and a strong listener
- Comfortable with autonomy and accountable for outcomes
- Creative in how they solve problems, but disciplined in how they deliver
- Reliable to their core, someone their team and clinics can count on every time
If you’re someone who naturally leans in, takes ownership, and gets energy from making things work better, you’ll thrive here.
If you’re looking for a role where you’re told exactly what to do every day, this won’t be the right fit.
This is a full-time position, estimated at 40 hours per week.
Salary range: $57,790 – $61,190 annually, based on experience and expertise. Benefits include paid holidays and vacation time, 401K with profit sharing after one year of service at open enrollment, and available health insurance options.
